Who this notice covers

This notice covers visitors to nitepilot.co.uk and authorised users of the NitePilot service. A subscribing organisation controls the operational and staff data it enters; NitePilot processes that data for the organisation under the service agreement.

Information we process

We process account details, organisation and venue records, operational records, security logs, support correspondence and billing identifiers. Optional modules can contain workforce, safety, CCTV, guest-list and identity-evidence data. Access to sensitive evidence is restricted and audited.

Why and for how long

We process information to provide, secure and support the service, meet contractual duties and comply with applicable law. Retention is set by the customer, the service agreement and legal requirements; identity evidence has a separately configured expiry process.

Sharing and international transfers

Approved infrastructure, email, billing and support providers may act as subprocessors under contract. The customer will receive the current subprocessor list and transfer safeguards before production onboarding.

Your rights and contact

Contact privacy@nitepilot.co.uk for access, correction, deletion, restriction or objection requests. Staff and guests should normally contact the venue first because the venue is the controller of its operational records.
